Sydney Uni Sport and Fitness (SUSF) is a dynamic organisation providing sporting, recreation and fitness services to the University and general community. This involves the management of over 40 sporting clubs, a number of fitness, health and other sport-related facilities, and the coordination of University and community based sport and recreation programs


Sydney Uni Sport & Fitness’s object is to encourage, foster, promote, develop, extend and govern amateur sport members of the University of Sydney and greater community and to promote the health and wellbeing of these stakeholders through the provision of sport and recreational activities and facilities.

General Description The Receptionist role at SUSF is essential for the office culture and the smooth running of day-today office life. The Receptionist is the first point of contact for a number of people having relations with Sydney Uni Sport & Fitness. It is essential that you present the appropriate professional and courteous image, demeanour and attitude that best reflects everything that is Sydney Uni Sport & Fitness. The Receptionist will manage the appearance of Head Office ensuring the office is clean, tidy and generally well presented to visitors. This position  will suit someone flexible looking for school based hours or to fit around training times.     Duties Reception Reception duties which include, but are not limited to: Answering incoming calls and assisting callers or referring them to another member of staff or take messages and pass them on to the appropriate person; Answer all counter enquiries, assisting with life membership, club enquiries, walk ins, receive money for club deposits; Coordination of all returned mail including the updating of all database(s) to ensure stakeholders receive correspondence and that returned mail is a single occurrence only; and Dispersal of mail daily.   Clerical and Administrative Typing and copying of correspondence and other formal material as required by the Executive Director and Senior Management Team Maintain up to date knowledge of SUSF’s business and new developments. Maintaining stock for stationary and making orders as required Ensuring all SUSF Printer fleet are working and toner stock is full. Organising all printer maintenance. Update staff contact lists. Effectively escalate more advanced queries within the SUSF Team. Undertake record filing, archiving and other administrative procedures, ensuring records and databases are accurately maintained and comply with SUSF policies. This also includes the management of confidential and sensitive information appropriately. Manage the bookings of meeting rooms, audio visual equipment, motor vehicles and camera equipment. Ensure the kitchen is clean and tidy at all times including unloading and reloading the dishwasher as required. Presentation of the office including the passing on of all deliveries, sorting boxes and maintaining the office as a clean, tidy and safe environment.   Human Resources Assistance (FULL TRAINING WILL BE GIVEN) Insurance claims for sporting injuries Active Kids administration Staff Compliance (validating Working with Children Checks etc)   Selection Criteria Recognised qualification & experience in executive management support and customer service Demonstrated organisational skills and ability to deal with multiple projects and priorities. Demonstrated high level of interpersonal skills and written and oral communication skills. Demonstrated ability to manage and deliver in a timely manner multiple projects and tasks in a reporting process by the set deadlines. Demonstrated knowledge and experience in general administrative tasks. Demonstrated experience with managing staff   Qualifications & Experience Essential Attention to detail and thoroughness. Strong Communication & Interpersonal Skills Organisational & Time management skills Experience with servicing relationships with customers and stakeholders Desirable Professional Sport industry experience (2+ years) First Aid – workplace safety Accountability This position reports to and is accountable to the Sydney Uni Sport & Fitness Executive Director and the Legal and Human Resources Manager.   Looking for a start date of 29 January 2019. Free Gym Membership and great staff benefits .   Conditions of Employment The position is in accordance with the terms and conditions of the Employment Agreement and relevant industrial award. The successful applicant will be required to complete a 100 point Police Records Check and Working with Children Check as per NSW Government Legislation. The position has a 12 week probationary period. Availability to work 5 hours daily (flexible) Monday-Friday. Maximum Term position ending in December 2019   Must have Working Rights in Australia.
