Job Description

Position Title:                         Office Administrator

 Location:                                 DATTA Vic, Abbotsford Convent

 Employment Type:                1 year contract (probation period will apply, possibility of extension)

 Time Fraction:                       Part time (30 hours per week - 0.8). Days are negotiable.

 Salary Range:                          VGSA 2017 Level 1 Range 2

                                                    $55,690 to $63, 980 FTE depending on experience

                                                    Plus superannuation

 Start date:                              Immediately


 Position Summary

 The Design & Technology Teachers’ Association of Victoria is seeking an Office Administrator to join our busy team. The Office Administrator will be the key point of contact for all membership and financial enquiries to DATTA Vic. They will also be responsible for developing administration systems for membership and event attendance that support the operations of the organization. Reporting to the Executive Education Officer (EEO) the Office Administrator will play a vital role in providing support through the functions of bookkeeping, payroll, and HR.


Roles and Responsibilities (key accountabilities)

 Building and maintaining relationships with members and stakeholders is central to the role. The Office Administrator will ensure all financial operations of the organisation are conducted in a professional and timely manner. This includes working with colleagues and the DATTA Vic accountant on daily accounts payable, receivable, payroll, BAS and other staff payments. The Office Administrator will also be responsible for banking and bank reconciliations and complying with an annual auditing process.  The Office Administrator will provide key financial knowledge of the organisation and support the EEO and Committee in developing the Annual Report and other financial reporting requirements as necessary (i.e. financial reporting for funding grants). The Office Administrator will work with colleagues to maintain accurate records of membership, professional learning participation and resource sales.

 Key Selection Criteria


  1. Strong oral and written communication skills with the ability to foster positive relationships with stakeholders
  2. Relevant qualifications and/or proven experience in office administration
  3. Experience in MYOB and MYOB Payroll
  4. Experience with on-line business transactions including banking, on-line receipts and payments, and POS systems
  5. Excellent IT skills including Excel
  6. Ability to work successfully as a member of a small team.
  7. Knowledge of effective small business systems and procedures and ability to lead continuous improvement across a small organization
  8. The successful candidate must have a valid Working with Children Check, or be willing to obtain one


  1. Experience using the Filemaker database system
  2. Experience working in the Education sector
  3. Experience using Microsoft Office 365 or comparable Cloud based software.
  4. Understanding of the structure, function and purpose of a not for profit professional membership-based association.

 The Design & Technology Teachers’ Association of Victoria (DATTA Vic) represents and supports Design and Technologies Teachers (including Systems, Electronics, Textiles, STEM Auto & Primary teachers) in education throughout Victoria.

 We are a non-profit organisation that was formed in October 1987. Since our humble beginnings as a group of like-minded teachers of Technology we have grown to a membership of over 1000. The DATTA Vic board consists of volunteer members and they employ two part-time paid office staff as well as casual/contract staff when required.
