The Role

  We have an exciting opportunity for an experienced Executive Assistant to assist Executive GM in our Melbourne office.

In this role you will act as a primary point of contact for internal and external stakeholders and clients for all matters pertaining to the EGM.  You will ensure the EGM remains sufficiently accessible, while supporting them to achieve deadlines, deliverables and key commitments in a role where competing agendas and deadlines demand accuracy, courtesy and utmost professionalism.


Key responsibilities includes (not limited to):

  • Multifaceted administrative support including handling and response of incoming/outgoing e-mails as appropriate and in consultation with the EGM
  • Accurately planning and maintaining all calendar and daily schedules, including associated room bookings
  • Analyse enquiries and requests from internal and external stakeholders including clients, determine and take appropriate action on behalf of the EGM, including the redirection of enquiries to appropriate personnel
  • Liaison with internal and external stakeholders and clients to coordinate meetings and events off site and internally. Facilitate attendance and prepare required documentation  for agendas, and other relevant material
  • Organise domestic and international travel including flights, accommodation, vehicle hire, transfers etc. 
  • Carry out Concur corporate credit card expense reconciliations in accordance with company procedure and deadlines
  • Creation of Ariba purchase orders and processing of tax invoices, purchasing (including raising Purchase Requisitions and processing Service Entry sheets in SAP) and other items
  • Technical support over various platforms for multiple devices such as laptop and iPhone, and software including yammer, Ariba, concur etc.
  • Facilitate documentation approvals as per the delegation of authority i.e. travel, training, purchase/recruitment requisitions, expenses etc.


To be successful in this role you will have high attention to detail, are outcome focused with the ability to multi-task, be responsive and take ownership including excellent organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly. Being proficient in MS Office you will encompass forward thinking and adept at working in a fast-paced environment, must have an ability to work flexibly and adaptively in a complex environment with multiple stakeholders.
