The Opportunity:

Reporting to the Team Leader - Programs, this role is responsible for maintaining productive relationships with a range of internal and external stakeholders and providing detailed operational support to the Programs team in the development and delivery of high quality programs. The role includes some client liaison, supplier management and logistical organisation.

Key Accountabilities:

  • Work collaboratively to plan for education program delivery and identify the necessary administrative components at the outset
  • Research into program locations, providing options for site visits, meals and travel directions as required
  • Research travel options and make travel bookings (flight and accommodation) for faculty and staff consistent with office policy
  • Liaise with external suppliers, including hotels, training venues, caterers, transport companies, couriers and other necessary providers for delivery of education programs
  • Prepare summary reports on workshop evaluation
  • Provide on the ground support for the delivery of ANZSOG education programs
  • Maintain a detailed record of the status of all support requirements for each program including the status of each item on the list
  • Communicate regularly with team members about status of different items and potential risks and barriers to delivery timelines
  • To be successful in this role you must have:  
  • Diploma/Certificate IV in Administration or Events + 2-3 years' work experience, or equivalent
  • Experience providing program or support to busy teams
  • Demonstrated high level of attention to detail and ability to see work responsibilities through to completion
  • Well-developed time management and organisational skills, including working with multiple tasks and deadlines concurrently
  • Excellent communication skills (written and oral), providing a high level of service to senior level participants and all internal stakeholders
  • Experience in developing and maintaining systems and processes
  • Demonstrated ability to work autonomously and under direction
